Job Description

We are a transcription and court reporting firm in Cambridge, presently seeking a full-time administrative assistant to take on several roles in a small, busy, collegial office environment. Browse and Understand what we do and how could contribute contribute and grow in this position.

This administrator is responsible for performing administrative tasks, including job intake and order processing, answering telephones and communicating with attorneys, finalizing transcripts for delivery, managing our court reporters and maintaining reporting equipment, scheduling depositions and hearings, and contributing wherever you can to the growth of the company. The candidate will register as a notary public and serve as an eReporter when needed to digitally report depositions and hearings both in our office and at other locations.

This job is an excellent opportunity to contribute and learn. You will have much responsibility. We will depend on you as part of a small congenial in-house team.

We seek a self-reliant, self-motivated college graduate with high expectations and strong interpersonal and organizational skills who would serve as the initial contact for our company. The candidate is expected to work independently with minimal supervision and take initiative to complete tasks to the best of her or his ability. This position requires self-reliance, high attention to detail, high dependability, a well-rounded personality, commitment, and determination.

Responsibilities include:

  • Entering jobs into our database
  • Answering phones, coordinating with attorneys by phone and email, serving as our primary contact
  • Providing quotes and following up, ensuring all orders are correctly completed
  • Managing calendars and schedules
  • Managing and training our court reporters
  • Serving as a digital court reporter as needed
  • Maintaining our reporting equipment
  • Helping to develop procedures and best practices.


  • Strong proficiency in MS Office (Word, Outlook, and Excel)
  • Strong organizational skills, high attention to detail and accuracy
  • Excellent interpersonal and communication skills, verbal and written
  • Excellent typing skills.
  • A self-reliant can-do attitude, the ability to get the job done
  • Able to multi-task in a fast-paced office environment
  • Able to work independently with minimal supervision
  • Able to work as part of a small team
  • Able to maintain a professional demeanor under occasionally stressful conditions
  • Able to handle confidential information
  • Reside in or near Cambridge with access to public transportation


Pay depends on capability and experience. Bonuses based on performance. For the first two years you will be given 10 days paid vacation, 5 sick days, 10 paid holidays; earn up to 15 paid vacation days after 3 years.
