JOB REQUIREMENTS:

The Administrative Assistant will aid the Executive Assistant and President in carrying out tasks that effect overall business operations. This position requires the Administrative Assistant to be extremely technology proficient as well as extremely meticulous and detail oriented. This position will take place in a fast-paced service environment in which the Administrative Assistant will be required to complete tasks efficiently and effectively with heavy emphasis on quality and timeliness. These tasks include but are not limited to:

  • Managing multiple inboxes

  • Aiding in marketing campaigns extensive and high output

  • Making large number of calls and dealing with high priority government contacts

  • Researching and developing complex documents

  • Answering the front office telephones and transferring calls as needed

  • Participating in weekly team meetings and taking meeting minutes

  • Operating various software systems such as CRMs, Wrike, Slack, C2P, to complete day to day task

  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.

  • Providing real-time scheduling support by booking appointments and preventing conflicts.

  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.

  • Screening phone calls and routing callers to the appropriate party.

  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.

  • Greet and assist visitors.

  • Maintain polite and professional communication via phone, e-mail, and mail.

  • Anticipate the needs of others in order to ensure their seamless and positive experience.

  • Take constructive feedback on a consistent basis, must possess growth mindset

REQUIRED QUALIFICATIONS.

Qualified candidates must possess a Bachelors Degree and 3 years of administrative experience. Excellent computer skills, especially typing, let us know your typing speed. Full understanding of the Microsoft Office Suite, including outlook and excel. Ability to easily adapt and learn new technologies. High attention to detail. Desire to be proactive and create a positive experience for others. Highly communicative and able to be a team player.

Must possess positive, uplifting attitude and great team skills.

  • Any government experience including Federal, Government (State, local, municipality) experience is desired.

  • Proficiency in excel, Macros, and great math skills is a plus

  • Any Human Resource, recruiting experience is a plus
