Our Chicago, IL office is seeking an experienced Administrative Assistant. This full-time position will provide administrative assistance to a team of several professional staff members, including Partners and Associate Partners

This highly demanding position requires a positive, self-motivated individual with superior organizational skills, ability to work within deadlines and execute multiple tasks simultaneously to ensure a high level of professional standards.

Essential duties include (but are not limited to):

  • Preparation, formatting and binding of financial statement reports.
  • Copy and assemble Corporate, Partnership and Individual income tax returns.
  • Document copying, sending fax messages, mail receipt and delivery, processing incoming and outgoing Federal Express and other courier packages.
  • Word processing, including composing memos, letters, emails and other correspondence with little or no guidance.
  • Scan forms, reports, correspondence into PDF format.
  • Setup of client and financial folders on the companys network system.
  • Occasional internet research.
  • Client database maintenance, including the updating of contact information, setup of new projects, and maintenance of tax due lists and printing of such reports.
  • Professional switchboard telephone support, to include answering, directing and screening calls.
  • Maintain electronic and paper filing system.
  • Prepare and mail client invoices on a monthly basis. Maintain billing files, answer invoice related inquiries by clients.
  • Process Partner time and expense reports.
  • Provide back-up support for other Administrative Assistants in the company.
  • Performs other related duties as required.

  • Requirements:

  • Able to work in a fast paced high pressure environment.
  • Must work independently within an established administrative framework.
  • Accounting software experience a plus (ProSystem Practice, ProSystem Tax, ProSystem Engagement).
  • Personable team player, willing to work with and contribute to the success of a team of personable, highly motivated professionals.
  • Proven expertise in MS Word and MS Outlook with a working knowledge of MS Excel, and Adobe software applications.
  • Time flexibility, specifically the ability and willingness to work before or after regular hours to meet occasional short notice report deadlines; regular hours are 8:30 a.m. to 5:30 p.m. Mondays through Fridays.
  • Excellent communication skills spelling and grammar, good proofreader, ability to write/answer correspondence.
  • Demonstrated high-level client-service orientation, ability to handle sensitive and confidential information with maximum discretion.
  • Ability to understand challenges facing partners and staff members and be able to manage/reschedule priorities effectively.
  • Professional demeanor.
  • Organized, detail-oriented, competent follow through skills.
  • Superior organization skills ability to come up with processes and follow up.
  • Ability to exercise good judgment/decision making when necessary.
  • Ability to anticipate problems and act accordingly.
  • Ability to prioritize and multi-task great time management.

  • Skills/Qualifications:

  • Prefer associates degree with at least 3 years of administrative experience.
  • Bilingual applicant preferred (English / German).
