Position: Administrative Assistant (Part-time Evening Shift)

The Administrative Assistant provides administrative and secretarial support for all departments at Five Stones Research Corporation. The candidate deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. The Administrative Assistant will be responsible for the essential functions listed below and must display the competencies as described in order to complete those essential functions.

Essential Functions:

  • Professionally greets visitors, following applicable security requirements
  • Professionally answers phone calls and delivers messages
  • Responsible for checking the mail daily
  • Schedules interviews
  • Schedules pre-employment physicals
  • Tracks office expenses and completes reports for management team
  • Orders and tracks employee shirts and uniforms
  • Tracks employees birthdays and distributes emails with gift cards
  • Purchases supplies
  • Assists with set up and tear down of on-site meetings
  • Assists with quarterly luncheon preparation
  • Monitors Employee of the Quarter program
  • Verifies and enters data on paystubs
  • Completes time-sheet fail report for Accounting
  • Completes Expense Reports for Executive Staff
  • Edits and proofreads documents as requested
  • Maintains professionalism and cleanliness of office daily by stocking refrigerator, wiping counters, tidying conference rooms and common areas, emptying trash, re-stocking office and bathroom supplies, etc.
  • Registers management team for conferences & sends calendar invites
  • Assembles goody bags for New Hires
  • Coordinates employee giveaway opportunities with CFO

Supervisory Responsibility

This position has no direct supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Employees must have the ability to see, hear and speak. The employee must also have the ability to lift objects up to 20 pounds, sit for extended hours and operate a keyboard.

Position Type/Expected Hours of Work
This is a part-time position, requiring a 20-25-hour work week, Monday-Friday. Occasional evening and weekend work may be required as job duties demand.


No travel is expected for this position.

Required Education and Experience:

  • High School Diploma

Preferred Education and Experience:

  • 2-3 years of experience as an Administrative Assistant
  • Experience with Deltek Accounting Software
  • Experience in government contracting
  • Familiarity with Human Resources compliance requirements

  • N/A

Work Authorization/Security Clearance

  • DoD Secret Security Clearance, or the ability to obtain on is a requirement of this position
