Administrative Coordinator

Revision Military – Southborough, MA

PRIMARY EMPLOYMENT OBJECTIVES

The Administrative Coordinator is responsible for the efficient operations of all office services and manages all first impressions when visitors enter the facility and/or call in to the office at Revision. Specific duties include maintaining supply inventories, ensuring the tidiness of the office, kitchen & meeting rooms, liaising with building management, overseeing the office equipment and promoting a safe and healthy working environment. This multifaceted role also will be responsible for administrative support to various departments. The incumbent should be a motivated and energetic individual with exceptional customer service skills.

SPECIFIC ESSENTIAL FUNCTIONS

General

  • Welcome, greet and assist all visitors (customers, clients, vendors, employees and other guests) and maintain a professional reception area.
  • Be at the front desk from 8:00 am to 5:00 pm Monday through Friday (or other agreed upon time period) with a one-hour break for lunch and any necessary breaks during the day. When not at the desk, the incumbent is expected to arrange for proper coverage.
  • Answer all incoming calls and promptly direct calls to the requested employee or their voicemail. Arrange for sufficient telephone coverage backup when on vacation or at meetings.
  • Perform ERP data entry for such as invoices, bills and receivables
  • Assist with scheduling of outside services for the facility.
  • Distribute incoming mail (external or internal) and faxes promptly to the recipients.
  • Support internal employee events planning and execution.
  • Other duties and responsibilities as assigned.
  • Administrative Functions

  • Responsible for assisting with new employees as directed by Human Resources.
  • Order & maintain office supplies.
  • Make meeting, luncheon and travel arrangements for management or staff as required.
  • Maintain company employee contact lists

  • KNOWLEDGE, SKILL, AND EXPERIENCE REQUIREMENT

  • Associate degree in Business preferred or equivalent combination of education and work experience.
  • 3 years experience as Administrative Coordinator in an office environment of 30+ employees.
  • Excellent written and oral communication skills (English).
  • Highly motivated problem solver.
  • Meticulous attention to detail and highly organized.
  • Professional and neat attire.
  • Exhibit a willingness to work with others in a patient and collaborative manner.
  • Ensure good rapport with members of the public and employees while establishing positive work relationships.
  • Strong interpersonal skills must be outgoing, pleasant, helpful.
  • Proficient computer skills within the Microsoft Office Suite and Outlook.
  • Ability to multi-task and work with a high sense of urgency in a fast-paced office environment.
  • Energetic, passionate, well organized and demonstrating a positive can-do attitude is a must.
  • Ability to maintain a high level of confidentiality of all aspects of job responsibilities, at all times.
  • Maintain a pleasant attitude and professionalism while working under high pressure situations.
  • Must be extremely flexible to changing environments of a thriving business and ability to work additional hours.
  • Must be able to work independently and as part of a team.
  • Excellent customer service skills.
