The Office of the Associate Provost is responsible for academic and faculty affairs. The office provides oversight to academic departments and assists them with the development of curriculum, annual departmental plans, while providing leadership and support to promote faculty growth, and ensuring the success of the colleges strategic plan.

Reporting to the Associate Provost, the Administrative Coordinator will perform the following duties, in addition to the CUNY Title Overview:

  • Coordinate day to day office operations

  • Plan and coordinate special projects with the guidance of the Associate Provost

  • Streamline steps across various projects managed by the Associate Provosts office

  • Collect and summarize data using Google suite tools

  • Assist with the management of the Colleges curriculum change process

  • Generate queries and data set using CUNYfirst

  • Alongside the Associate Provost, coordinate all faculty development initiatives

  • Update and maintain spreadsheets pertaining to several projects/processes

  • Manage the Associate Provosts calendar


Bachelor s Degree required.

Preferred Qualification

  • 2 years experience in office management in higher education
  • Demonstrated proficiency with Microsoft Office or Google Suite
  • Familiarity with database queries
  • Proven success in rapid adoption of new technology
  • Knowledge of curriculum change process
  • Experience in planning and coordinating special projects or events
  • Excellent written and oral communication skills
  • Experience working on projects that require a high level of detail
  • Strong time management skills, including ability to prioritize tasks and pursue a results-oriented work process.
  • Ability to learn new systems and tools quickly and independently


Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
