Job Summary Paradise Valley Community College is a Learning Centered College that supports a diverse and inclusive environment where mutual respect, equity and understanding and incorporating views from dissimilar frames of reference are encouraged and valued. ( and ( Performs secretarial and administrative support duties, provides instructional/division support for instructors, coordinates with management on classroom and community scheduling and assists Site Management with site specific needs. Position generates and compiles daily statistical reports and maintains multi-charge center budget. Essential Functions

20% - Coordinates traffic flow; provides a variety of information regarding the activities and functions for the Black Mountain site; routes telephone calls and visitors; provides customer service to all internal and external customers. Assists Site Management with site specific needs.

20% - Establishes and maintains appropriate filing system both electronic and paper; maintains confidential student, faculty, and program files and processes related documents; creates and maintains accurate data bases including daily statistical reports (credit, dual, and community) for enrollment class listing and room reports; creates class listing for internal staff needs, for HVAC, Security, and campus wide enrollment reports.

20% - Prepares and monitors budget requests, purchasing requisitions, PCard, and financial records including site facility rentals; researches prices; solicits quotes; manages inventories, requisitions, and supplies

20% Coordinates with instructors; maintains instructor database, key and card swipe check out/assignment, absences and cross reporting to chairs, syllabus and assists with individual instructor needs.

20% Oversees office needs, supplies and classroom needs. Creates fliers and informational signage, including semester course schedule. Set up, and tear down specialized classroom set-ups. Coordinates on and off-site community events. Performs other related duties as assigned.

Minimum Qualifications

Associates Degree from a regionally accredited institution and one year of clerical, administrative office support or related experience.


An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Two (2) or more years experience in a secretarial or administrative support position

B. One (1) or more years experience working in a college or university or other post-secondary institution

C. Experience creating and maintaining Excel spreadsheets

D. Experience creating purchase requisitions

E. Experience working with online management systems such as student information system, human resource management system, and financial management system

F. Experience maintaining confidential information

G. Experience working with multiple disciplines or departments within an organization

Special Working Conditions
  • Prolonged sitting and viewing of computer monitor
  • Will occasionally travel to other MCCCD locations
  • Some events may require some evening and/or weekend hours
  • Basic hours: 8:00 am - 5:30 pm Mon-Thurs, 7:30-2:00p Fri (Summer: 7:30 am - 6:00 pm Mon-Thurs).
  • May require lifting up to 25 lbs
