The ideal candidate should have an interest in education.The candidate must be reliable, punctual, organized, flexible, and have demonstrated ability to juggle multiple priorities in a school finance office. Furthermore, the person must demonstrate excellent interpersonal skills, pleasant phone manner, typing ability and familiarity with Microsoft Office and Google Applications. Previous experience with accounting preferred.QUALIFICATIONSProfessional appearance and mannerAt least two (2) years previous experience in office management, preferably in a school settingBilingual Spanish speaking/written translationsAbility to sit for prolonged periods, work independently, understand and carry out oral and written instructions, interact with persons of different age groups and cultural backgroundsMust be able to multitaskMust be diplomatic and discreet when dealing with confidential issuesMust have good people and telephone skillsFamiliarity with the use of office equipment, such as fax, photocopiers and other office equipmentExcellent verbal/written communication skills Ability to work as part of a teamDUTIES AND RESPONSIBILITIESAssist with all areas of school financesManage the front office/reception area to ensure effective telephone and mail communication both internally and externally to maintain professional image when neededGreets and welcomes visitors when needed Answers and disseminates calls when neededReport telephone and copier equipment breakdowns to IT DepartmentMake copies and send faxes upon requestPrepare and translate letters, field trip forms, and flyers for staff per request when neededAssist with Family Teacher ConferencesActive role in the Recruitment and Enrollment CommitteeServe as an interpreter as neededOther duties as deemed necessaryReview all invoices and code and enter into the system, match packing slips with invoicesResponsible for all ordering of supplies; researching most affordable options, preparing POs, tracking delivered items, matching documents for invoice submission, notifying staff when ordered items are deliveredSend out and receive mail and packages regarding orders that were placedReturning Items and verifying credits are issued when necessary Responsible for entering information into our accounting system, Abila, when needed Take payments when necessaryAssist in monitoring uniform sales & inventoryBoard Liaison responsibilities include: posting agendas for board meetings and sub committee meetings on SOS, transcribe meeting minutes and posting approved minutes in timely mannerUpdating Board Google Doc with all pertinent meeting informationShare Google Doc with all new board membersMaintaining physical file of all documents Disseminate information to Board members via email and Google Doc Create formal documents for the boardPrep board meeting folders with Current agenda, Minutes to be approved from previous meeting, and sign in sheet.Also responsible to organize and assist in the organization of other events ie: BackPack Snack Attack, Graduation, Rising Scholars, field trips, and fundraisers.Responsible for maintaining all requests pertaining to events and fundraising (van use, building use, field trip request etc.) and updating school wide calendar with said events.
