The Client and Talent Services Associate is a junior-level role supporting a broad range of sales delivery and corporate operations activities across all phases of the business cycle from contract negotiations, through talent onboarding, timekeeping, billing and payment reconciliation. This role demands focused energy and strong organizational skills to handle a high volume of dynamic interactions with internal and external stakeholders. It provides an opportunity to learn a variety of corporate functional areas and develop a career path.

Own It

With guidance from your direct supervisor and others, you will own the following essential duties and responsibilities:

  • Serves as the first responder to messages sent to the contracts and payroll email listservs and provides concierge service to ensure all questions or concerns are resolved or escalated to the correct subject-matter experts in a timely manner.
  • Responsible for processes and systems related to servicing customers and supporting sales and delivery staff so they can focus on business development and revenue generating activities.
  • Conduct monthly search and upload of DiscoverOrg leads into sales database.
  • Review every transaction entered into the sales database against compliance checklist (Match ASA); facilitate the completion of administrative requirements and resolve any non-conformance instances.
  • Assist the Contracts team with preparation of standard company agreements; maintain templates on intranet.
  • Save all executed agreements in the database and distribute contract kickoff summaries, ensuring the completeness and accuracy of terms for use by stakeholders.
  • Complete standard client onboarding documents, such as EFT/ACH set-ups, supplier diversity forms, and other forms as may be required to ensure timely payment of invoices.
  • Assist Payroll team with collection of new-hire paperwork for newly hired talent.
  • Ensure timely completion of weekly timesheets and expense reports for contingent workforce; successfully process timesheets in our system, clients preferred systems (VMS) and via manual import of subcontractor invoices.
  • Assist Payroll team with processing and communicating to talent regarding eligibility for holiday pay, tenure bonuses, sick pay and any other non-standard pay.
  • Field general inquiries related to time and wages, employment verifications, background check packages/results and resetting passwords for HRIS/payroll system.
  • Assist with compliance activities by running reports, compiling documentation and reviewing data entry for clients, legal authorities and other audits.
  • Improve database user experience by merging duplicate Company and Contact records.
  • Order certificates of insurance from broker as needed and save appropriately.
  • Run monthly audit of client agreements and purchase orders that are nearing expiration and work to extensions/ renewals or close-out the corresponding records in the database.
  • Assist with client Requests for Proposal and/or Requests for Information as assigned (i.e., gather qualification documents or enter data into web-based procurement systems).
  • Maintain RFP/RFI boilerplate content for quick access when new proposals are created.

  • Facilitate productive and worthwhile meetings by preparing agendas, anticipating questions, steering the conversation towards desired outcomes and following-up on action items.
  • Be an enthusiastic learner improve your personal knowledge and skills in advancement of company objectives; Have awareness of external factors impacting our business.

  • Required Skills and Experience

  • Extremely detail oriented with strong organizational, interpersonal, oral and written communication skills
  • Strong problem-solving skills and a very strong degree of analytical review and other skill sets that speak to intense verbiage review for correctness
  • Ability to multitask in a dynamic environment; comfort working in a time sensitive, deadline-oriented environment with frequently changing priorities
  • High degree of professionalism and confidentiality
  • High degree of self-responsibility and ownership of assignments
  • 3+ years of experience administratively supporting senior managers
  • Proven proficiency in MS Office (including Word, Excel and PowerPoint) and Adobe Acrobat on a MAC operating system
