Position Description

You will be part of the Coverage Groups (GCG over 800 salespeople) executive administrative assistant team which is responsible for accurate and timely assistance in administrative management of the senior executives within DWS. The position in Chicago will support existing executive team members based in Chicago managing their administrative tasks, including scheduling, travel and expense management and relationship management across the organization. As a member of the Coverage Group, and along the side of senior team members, you will develop relationships with internal business partners, sales staff and the COO team. In addition, you will develop expertise with the client base and sales process within Coverage to facilitate a positive experience for all the stakeholders involved with our sales platform.

Key responsibilities will include:

  • Develop relationships with a group of sales people to facilitate their working relationships
  • Assist with the scheduling and calendar management of key executives within the Coverage team
  • Manage travel and expenses for a group of sales people you will directly support
  • Receive and process the invoices and receipts for expenses incurred by sales people
  • Ensure the timely entering and complete information required to submit and receive approval for the reimbursement of expenses
  • Meet strict deadlines to satisfy internal policies and procedures
  • Assist with the management of a workflow of client visits and meetings through the documentation and record of minutes and deliverables
  • Adhere to compliance policy to ensure that submitted expenses meet the standards of the firms expense policy
  • Support the sales staff with ad hoc requests from time to time
  • Other responsibilities may be assigned

  • In-depth working knowledge of Outlook
  • Experienced with Excel, Word, Power Point and Access
  • Self-motivated and enthusiastic team player, able to work with others in a fast paced, dynamic environment
  • Execute tactically on a day-to-day basis
  • Must be detail-oriented and have an analytical mindset with the ability to deliver key insights through out of the box thinking
  • Strategically review processes and suggest improvements to management to continue to enhance the operating platform

Education/Qualification Requirements:

  • BA/BS degree, or equivalent, preferable
  • Experience as an administrative assistant
  • Experience within the financial services and investment management is a plus
