Job Description

This is a Seasonal Role running from Mid - July through October. Position Summary: Assists the Director of Wellness in facilitating the smooth workflow of processes and functions that will ensure successful VNA Care flu clinics.

  • Contacts previous flu clients to set-up flu clinics and follows up with clients who have not responded.
  • Books time/date/location for flu clinics.
  • Obtains insurance coverage for each clinic and forwards all necessary paperwork to the clinic contact.
  • Obtains certificate of insurance for corporate clients.
  • Schedules nurses for flu clinics and records all schedules in a master spreadsheet, sends follow-up flu clinic reminders to both the nurses and clinic contacts.
  • Monitors voicemail and cell phone for any potential flu clinic issues and responds in a timely fashion as needed.
  • Orders all flu supplies, prepares and packs the bags for the flu clinic in advance of each clinic.
  • Organizes and maintains the cleanliness of all flu supplies and checks all refrigerated vaccine on a regular basis.
  • Informs facilities when the sharps bins are full to ensure timely disposal and to minimize the risk of an employee needle stick.
  • Tracks and organizes all paperwork generated for each clinic including, but not limited to, consent forms and MIIS forms.
  • Tracks that the Agency receives the appropriate reimbursement and follows up with clinic contacts as needed.
  • Enters client data into MIIS in a timely manner in accordance with protocols established by the State.
  • Meets on a regular basis with the Director of Wellness and provides updates, including written weekly reports, on clinics being held and the staffing of the flu clinics.
  • Packs flu vaccines in accordance with the protocols established by the State.
  • Upholds the compliance objectives and policies and procedures of VNA Care and Subsidiaries.
  • Performs other related duties of a similar nature and complexity as directed.


  • High School diploma.
  • Knowledge of word/excel and outlook.


  • Minimum 1 year in an office setting or comparable work experience.
  • Excellent communication and organizational skills.
  • Good computer skills including the use of Microsoft Office software.
