Judicial Assistant - Floater (Probate/Mental Health Court)

Position Overview

The Judicial Assistant provides administrative or executive assistant work in support of a Probate/Mental Health Court Commissioner or Judge and/or departmental administrative areas.

Position Qualifications


Minimum education and/or experience:
High school diploma or GED with two (2) years of experience as a judicial staff member in the court system, or three (3) years of experience in a law office. A combination of post-secondary education and job-related experience may substitute on a year for year basis.

Specialized training, certifications, and/or other special requirements:
Must have a current Arizona driver s license at the time of hire.

Knowledge, skills, and abilities:
Knowledge of:

  • Court policies and procedures, legal terminology, office procedures and practices, and the legal requirements for processing court documents.
  • Customer service standards and procedures.
  • The following programs and equipment: MS Outlook, Word, Excel, iCIS, OnBase, eFile, multi-telephone system, faxination, and copy machine.
  • Skill in:
  • Verbal and written communication.
  • Coordinating and prioritizing work and activities of self and others.
  • Creating, composing and editing written materials.
  • The use of personal computers and related software applications.
  • Ability to:
  • Understand and follow quickly and accurately brief written and oral instructions.
  • Preferred education and/or experience:
    Experience in Probate/Mental Health Court Administration. Experience with Probate/Mental Health Court procedures, legal terminology, and the legal requirements for processing court documents. Previous experience interacting with Judges, Commissioners, and Attorneys.

    Working conditions:
    Must be able to travel to any Superior Court location (Downtown, Southeast Regional Mesa, and Northeast Regional North Phoenix, Desert Vista Behavioral Health Center Mesa, Psychiatric Annex - Phoenix) for coverage assignments as directed by Probate/Mental Health Court Administration based on the needs of the department. These assignments will be of varied duration (i.e. either day to day, or from one week to several months).
    This position is eligible for mileage reimbursement as approved by supervisor.

    Essential Job Tasks

  • Provides all administrative support of Probate/Mental Health Court Judge or Commissioner as a Judicial Assistant and/or Bailiff.
  • Prepares, maintains, and revises daily court calendars, including setting hearings/trial dates and processing motions.
  • Arranges for interpreters, court reporters, and special assignments as necessary.
  • Reviews case files for completeness and contacts interested parties for missing information.
  • Prepares information for Judge s or Commissioner s review prior to hearings.
  • Prepares courtroom, gathers all parties for hearings, directs when cases will proceed to courtroom, and manages calendar flow.
  • Assists in case flow management with daily input of hearing outcomes into the court database.
  • Answers questions in person and by telephone from self-represented litigants, attorneys, and court staff.
  • Reviews mail daily and processes all in-box and out-box correspondence for Judge or Commissioner.
  • Works collaboratively with other Judge or Commissioner divisions to offer assistance in time of need by posting minute entries, processing incoming division mail or updating division calendar activity reports.
  • Uses the following programs and equipment MS Outlook, MS Word, Excel, iCIS, OnBase, eFile, multi-line telephone system, facsimile and copy machine.
  • Provides administrative support for Probate Court Administration, including providing assistance at the Probate Customer Service Window, answering phone calls, reviewing Cal-Acti reports.
  • Assists others or divisions as needed.
  • Selection Procedure

    The hiring authority will select the successful candidate based on departmental needs.

    All Judicial Branch offers of employment and continued employment are contingent upon passing a thorough background/fingerprint check. Applicants must completely and fully answer any questions regarding felony and misdemeanor convictions including any convictions that have been expunged or set aside. Failure to include criminal history information is grounds for termination of an offer and employment. A conviction may not automatically disqualify an applicant.

    External candidates are hired at the minimum of the salary range. Exceptions may be made on a case-by-case basis for current Judicial Branch or County employees depending on current classification and related experience.

    Judicial Branch facilities are located throughout Maricopa County. This position may be reassigned to other locations. Assignments will be made based upon the needs of the department.
