Logistics Coordinator

Close Up Foundation – Alexandria, VA

Close Up Foundations mission is to inform, inspire, and empower young people to exercise the rights and accept the responsibilities of citizens in a democracy. As a non-profit/non-partisan leader in civic education since 1971, we believe that a strong democracy requires active and informed participation by all citizens.

The Logistics Coordinator is responsible for scheduling, coordinating, and working with many different vendors that Close Up works with. These vendors include but are not limited to our bus companies, Metro, Union Station parking and more. The Logistics Coordinator must be extremely organized and work closely with the Director of Program Services to ensure many different aspects of Close Ups programs run efficiently and within budget.

Essential Duties & Responsibilities

  • Assist in scheduling and booking buses for all student programming;
  • Maintain and update bus bookings based on schedule changes;
  • Order and distribute SmarTrip cards as needed;
  • Pay and track invoices;
  • Maintain relationship with internal and external clients/vendors;
  • Maintain excellent communication with Curriculum, Transportation, Sales and Custom Program Teams as it relates to bus needs;
  • Serve as weekend Manager on Duty at least once per month;
  • Work and respond to calls/emails outside of normal business hours; and
  • Backup other department tasks during peak times.

Qualifications

  • Bachelor s degree from four-year college or university;
  • Professional hospitality experience preferred;
  • Knowledge of the Washington, D.C. area;
  • Willingness to use personal car for onsite inspections (with reimbursement);
  • Working knowledge of Microsoft Word and Excel;
  • Ability to learn web-based programs;
  • Willingness to work some evening and weekend hours and ability to work in office and on-site;
  • Proven attention to detail;
  • Strong written and oral communication skills;
  • Ability to manage multiple programs simultaneously to meet strict deadlines; and
  • A record of success working across departments and as part of a team.
