Required Knowledge, Skills, & Abilities Needed For Position

Primary job responsibilities include the following; answering patient phone calls live and return calls in a timely manner. Schedule appointments for patients. Provide support services for professional staff, collect insurance co-pays, assist with collections, keep office areas clean and organized.
Answer patient questions on patient responsible portions, copays, deductibles, write-offs, etc. Resolves patient complaints or explains why certain services are not covered.
May occasionally work with patients to establish payment plan for past due accounts in accordance with provider policies.
Follows HIPAA guidelines in handling patient information.
Ability to look up ICD 9 diagnosis and CPT treatment codes from online service or using traditional coding references.
Updates job knowledge by participating in educational opportunities and then educates key persons within ProActive as identified by practice CEO.
Serves and protects the Practice community by adhering to professional standards, practice policies and procedures, federal, state, and local requirements. In the event of a conflict between Practice and governing bodies, the matter will be brought to the attention of Practice CEO.
Enhances billing department and Practice reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
Assist with coordinating aspects of the medical billing, pre authorization, and collection process for an established behavioral health practice, PBS and additional contracted medical practices acquired through PBS marketing efforts.
Review our accurate procedure and diagnosis code(s) provided by healthcare practitioner into designated billing system Kareo.
Ensuring all insurance claims are sent out clean and in a timely manner either electronically or manually
Effective follow up on unpaid claims and patient balances
Reviewing Explanation of Benefits to ensure appropriate payment was received
Prompt follow up on provider and patient requests.
Assist office manager and office support staff with sending out patient statements monthly
Maintain daily communications with business ownership and office staff at facility
Maintain positive, healthy relationships and fluid communications with healthcare providers on an ongoing basis.
Assist office staff with customer service aspects related to patient servicing.

Assist business ownership with building billing services beyond the current practice billing needs.
Greet patients and collecting copays.
Assist practice ownerships with special, confidential projects as assigned, as well confidential audits as they may arise.
Assist front office staff with replenishing office supplies, toiletries on a as needed basis, assist with tidiness of office and waiting areas.
Assist practice with eliminating un safe environmental hazards and assist with light snow removal and salting during wintery/ice seasons.
Refrain from negative or gossip type discussed towards practice, office support staff or healthcare providers and make efforts to assist others with rectifying interpersonal conflicts should they arise. In the event, such matters are not easily resolved, then report to practice management. No drama.
Maintain a positive and professional image, attitude, and demenor towards both patients, healthcare providers, and office staff while onsite in offices, while writing in emails, and while on phones with professional peers, patients and/or their family.
Behavioral Attributes

Knowledgeable on healthcare service and health insurance industry.
Good math and data entry (typing) skills.
Exercises good judgement and discretion.
Familiarity with HIPAA privacy requirements for patient information. Maintains and protects confidential information.
Proficient in use of computers and common office equipment.
Good verbal and written communication skills.
Basic understanding of medical ICD 9 codes and CPT medical billing codes.
Must have EXCELLENT telephone and patient relation skills.
Detail oriented and ability to prioritize work.


  • High School Diploma required, college education preferred.
  • 2 or more years of medical experience
  • Strong knowledge of Microsoft Word/Excel/Outlook
  • Customer service oriented
  • Excellent verbal and written communication skills
  • Ability to work independently and proven abilities to solve problems without extensive support
  • Ability to prioritize and multi-task a large work volume with a high level of efficiency and attention to detail
  • Knowledge of Psychiatric Terminology
  • Previous Behavioral Health experience preferred, but not required
