Office Manager/Receptionist

The Engine – Cambridge, MA

The Engine, built by MIT, invests in early-stage companies solving the worlds biggest problems through the convergence of breakthrough science, engineering, and leadership. We accelerate the path to market for Tough Tech companies through the combination of capital, infrastructure, and network. We operate a 30,000 square foot facility of office, lab, and makerspace at our headquarters in Cambridge, MA.

This role will support The Engines infrastructure where we help tough tech founders grow their companies. Our Office Manager will be the first face that Residents and guests see when they come to The Engine. This person will be responsible for the operation of the front desk by greeting Residents and visitors warmly, communicating the visitor sign-in flow, and providing access for guests. They will also ensure the day-to-day operations of the building run smoothly by tracking the new resident onboarding process and changes in service for our teams. This person will aim to make both residents and Engine staff happy and productive!

Areas of Responsibility

  • Run the front desk during business hours
  • New Team & Team Member Onboarding & offboarding
  • Manage & Respond to Resident Service Change Requests
  • Greet visitors warmly and ensure an efficient hand-off to his/her host using our guest management system
  • Represent the Engine to all visitors, staff, and guests
  • Monitor building badges and key systems
  • Receive mail & deliveries and alert recipients; keep mail room organized
  • Keep desk tidy & office supplies stocked, organized, inventoried and readily available
  • Order supplies for events, office, and team members
  • Organize Engine staff lunches, manage ordering for staff kitchen
  • Organize weekly building-wide Pizza lunch (place order, coordinate delivery, help with programming if needed)
  • Manage calls, tours & meetings with resident prospects
  • Assist in Operations Team tasks as needed and support Community Operations and Engine Staff

Qualifications

  • 2-3 years of experience in office management
  • Customer service orientation
  • Very organized and excels in task management
  • Excellent written and oral communication skills
  • A team player that works well both collaboratively and independently
  • Mission aligned - we are here to help our Founders!
  • Flexible, agile and willing to learn - we are a fast-paced and dynamic team
  • Willing to jump in, we roll up our sleeves and say yes to almost everything!
  • Experience managing or working in a coworking space is a plus!
  • Flexible hours available

Salary: $45,000.00 to $55,000.00 /year
