Required Knowledge, Skills, and Abilities:

Minimum Education and Experience:

  • Bachelor's Degree and minimum of 3 years graduate medical education coordination experience.
  • Equivalent experience, education and/or training may be substituted for the education requirements.

Prferred Qualifications:

  • National Board for Certification of Training Administrators of Graduate Medical Education Certification in Internal Medicine is desirable.
  • Experience with the use Electronic Residency Application System (ERAS) is desirable.
  • Proficient with Resident Management System applications, such as New Innovations is desirable.

Physical Demands and Work Environment:

Rutgers, the State University of New Jersey, is seeking a Program Coordinator (GME-Clerkship), for the Department of Medicine-Education at the New Jersey Medical School.

It is the responsibility of the GME Program to provide a structured educational program for the benefit of the residents and fellows. The GME/Clerkship Program Coordinator, under the direction and supervision of the GME Program Manager, is responsible for assisting in the administration of the residency program as outlined in the Accreditation Council of Graduate Medical Education (ACGME) Program Requirements. The GME/Clerkship Program Coordinator provides administrative and operational support directly to chief residents and residents, and to 3rd and 4th year medical students under the direction of the 3rd and 4th Year Clerkship Program Directors. The GME/Clerkship Program Coordinator interacts with faculty, residents, medical students, and institutional and regulatory administrative offices as directed by the GME Program manager and the 3rd and 4th Year Clerkship Program Directors.

  • Compiles, updates and submits reports to ACGME and other professional organizations as directed by the GME Program Manager.
  • Compiles, tabulates and reports data for surveys, questionnaires, census reports, accreditation reports and other forms and documents required by internal and external agencies as directed by the GME Program Manager.
  • Coordinates resident bi-annual reviews.
  • Assists with the coordination of all credentialing requirements of all initial appointments for interns as dictated by the primary and participating institutions as well as state licensing agency.
  • Coordinates the administration of the ABIM National In-training Examinations.
  • Prepares and distributes all post-graduation internal medicine verifications.
  • Drafts and/or transcribes letters, reports, e-mail and other written communications.
  • Maintains documentation of curriculum, accreditation documents, manuals, conference handouts, manuscripts, etc.
  • Responds to inquiries regarding residency, fellowship, student rotations, and other training issues.
  • Maintains knowledge of current medical licensure requirements, immigration policies, ACGME accreditation and institutional requirements.
  • Provides other administrative assistance to GME Program Manager and Core Program Director as needed.
  • Assists Clerkship Director with all clerkship/acting internship functions related to students within the department.
  • Monitors and ensures completion of students' clerkship requirements: CELlog, direct observation of clinical encounters, mid clerkship feedback forms and final clerkship evaluation forms.
  • Coordinates annual process for Departmental Letters of Recommendation for students applying in Internal Medicine and related fields.
  • Manages and updates the online educational system for the clerkship (Canvas).
  • Assists clerkship director in the scheduling of rotations, running of lotteries and call schedules.
