Position Description

Position Title: Quality Administrator

Reports To: VP, Quality & CI

Department: Quality

Position Summary

Provides administrative support services for the Quality Department. Administers the calibration system by reporting instrument status, procuring calibration services from suppliers, and maintaining the integrity of the calibration database. Creates Device History Records (DHR) and Certification packages for products. Publishes supplier scorecards. Publishes metrics and reports related to department, company, customer, and supplier performance.

Major Duties and Responsibilities

  • Administer the calibration system to ensure instruments are calibrated at their scheduled interval. This includes procuring calibration services from suppliers, coordinating supplier schedules on-site, and coordinating the shipments of instruments to suppliers. Ensure calibration certificates are reviewed and recorded in the system.
  • Create the records that accompany product shipments to the customer, including Device History Records (DHR) and Certificates of Conformance (CoC).
  • Publish supplier scorecards. Respond to supplier inquiries.
  • Collect, report, and publish department metrics.
  • Perform administrative duties for the Quality Department, including scanning documents, reviewing records, and managing record retention.
  • Maintain department training records.
  • Maintain record retention system, including organizing disposal of records at periodic intervals.
  • Order and track office supplies.
  • Perform other duties as assigned.


Position Requirements

Title: Quality Administrator

Education: High school diploma or equivalent.

Experience: 3 or more years administrative experience.

Knowledge: Proficient using MS Office (Word, Excel, PowerPoint, Outlook, OneNote) and Adobe Acrobat. Prefer knowledge of SmartSheet, GoToMeeting, and other team collaboration tools.

Skills: Verbal, written and listening communication

Abilities: Work under minimal supervision.

Organize and prioritize work.

Operate a computer workstation and related hardware and software.

Operate standard office equipment.

Travel throughout the plant on a daily basis to perform job duties.

Lift and carry up to 25lbs.

See adequately to type, write, read and proof various documents.

Learn and utilize new software.
