Job Description :

The Administrative Assistant will provide high-level administrative support to ensure efficient operation of the office. This role includes a wide range of responsibilities, from handling communications and organizing files to scheduling appointments and supporting various departments. The ideal candidate will be well-organized, proactive, and capable of working both independently and collaboratively.

Key Responsibilities

  • Communication Management:

    • Answer, screen, and direct phone calls and emails.
    • Greet and assist visitors in a courteous and professional manner.
  • Scheduling & Coordination:

    • Arrange and manage appointments, meetings, and travel arrangements.
    • Coordinate with departments to prepare for meetings and ensure all materials are ready.
  • Document Management:

    • Create, organize, and maintain digital and physical filing systems.
    • Prepare, edit, and format documents such as reports, presentations, and spreadsheets.
  • Office Support:

    • Order and maintain office supplies and ensure that office equipment is in good working condition.
    • Assist with office organization, cleanliness, and event planning as needed.
  • Data Entry & Record Keeping:

    • Input data into company systems and maintain up-to-date records.
    • Compile and prepare reports based on data collected.
  • Customer Support:

    • Assist clients, employees, and visitors with inquiries, issues, and information requests.
    • Handle sensitive information in a confidential and professional manner.

Skills & Qualifications

  • Education: High school diploma or equivalent; an associate degree is a plus.
  • Experience: Previous experience as an administrative assistant or in a related field is preferred.
  • Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with office equipment.
  • Communication: Strong verbal and written communication skills.
  • Organizational Skills: Excellent time management and multitasking abilities.
