The Massachusetts Rehabilitation Commission (MRC) is seeking a dynamic and detailed orientated individual with a broad range of clerical experience to provide support to the Regional Waiver Supervisors and the Waiver Coordinators and the team that supports the unit. The selected candidate will perform general clerical duties and support functions to ensure the efficient and timely delivery of services to consumers.
Duties and Responsibilities (these duties are a general summary and not all inclusive):
- Provide clerical support to Regional Waiver Supervisor(s) and waiver team through providing support services such as data entry, scanning, electronic filing, establishing appointments, making follow up calls, coordinating and scheduling office space for meetings and appointments.
- Train and supervise, as assigned, Clerk IV and temporary clerical staff in areas of office procedures, fiscal operations and control, Data entry in HCSIS, Meditech, Formstack, the Waiver Database, management monitoring and reporting system (MMARS) and other systems as necessary to ensure policy compliance and efficient and timely delivery to services to consumers.
- Participate in team meetings conducted by supervisors and managers; for staff assigned to EHS centers, and attend EHS Center Administrative meetings and conduct on an as needed basis clerical support meetings for information sharing and training.
- Assist in the interviewing and orientation of candidates for support vacancies and new staff.
- Act as Receptionist in EHS center locations by answering and transferring phone calls, receiving visitors, answering questions; directing clients to their destination, taking and delivering phone messages, sorting mail, taking and processing Mass Relay calls, operate TTY machine in order to assist deaf and hard of hearing clients, as well as instructing staff on the use of TTY and Mass Relay.
- Maintain inventory and order office supplies as needed utilizing COMPASS, MMARS etc., and process all payments for said office supplies, as well as assisting with surplus inventory and disposal requisitions.
- Oversee administrative budget account logs and as requested, review employee travel expense vouchers in accordance with state and federal regulations.
- Evaluate employee performance through a formal evaluation system and recommend training and other assignments to improve and enrich job performance for any assigned staff.
- Experience and ability to determine the proper format and procedure for assembling reports and other information in a timely and accurate manner in accordance with established procedures.
- Aptitude of the principles, practices and techniques of supervision and demonstrated experience in exercising sound judgment.
- Strong knowledge of clerical office practices and procedures including office record keeping, office correspondence control, the types and uses of office equipment and supplies and business document preparation.
- Ability to understand and apply the laws, rules, policies and procedures governing assigned unit activities.
- Superb attention to detail and accuracy, including the use of proper grammar, punctuation, spelling, data and numbers.
- Capability to work on, and prioritize multiple projects simultaneously and meet tight deadlines in a fast paced environment.
- Record of demonstrating strong customer service through a positive attitude of approachability, adaptability, problem solving and desire to support staff.
- Demonstrated ability to multi-task, work under pressure and perform a variety of tasks in a fast-paced, deadline driven environment.
- Ability to handle confidential materials and work in a professional and courteous manner
- Excellent interpersonal and communication skills with the aptitude to work independently and collaborate with multiple staff.
- Proficiency using Microsoft Office products such as Word, Excel, Outlook and PowerPoint.

Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) and equivalent combination of the required experience and the substitutions below:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *
III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.*
- Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
